Fluff Festival Coordinator – Union Square Main Streets

Position Description:
Working closely with the Union Square Main Streets Team (USMS), the Fluff Fest Coordinator will oversee the planning and execution of the What the Fluff? Festival, a critical tool of USMS’ mission that invites 20,000 Fluff lovers from all over Greater Boston to Union Square in Somerville, MA for a fluff-filled day celebrating community and local businesses each September.

What the… Fluff?
What the Fluff? A Tribute to Union Square Innovation is a madcap festival honoring the invention of Marshmallow Fluff. It celebrates Somerville’s proud tradition of innovation with live music, deliciously diverse fluffalicious feasts, family-friendly and sticky games, zany happenings, and much more with neighbors near and far. What the Fluff? is brought to you by USMS in partnership with the Somerville Arts Council.

Job Responsibilities
Responsibilities include, but are not limited to:

Management of logistics, including set-up and seeing through event execution to completion including breakdown and cleanup
Build and maintain strong relationships with vendors, volunteers, performers, local businesses, the community, key partners such as the Somerville Arts Council, and various departments in the City
Recruitment and oversight of vendors, volunteers, and participating Union Square in coordination with the Small Business Liaison
Leading the volunteer Fluff Planning Team including drafting meeting materials, leading meetings, assigning tasks, and providing support where needed
Oversight of all planning efforts and coordinating with Planning Team and City staff when applicable for items such as city permitting, parking, volunteers, and performers
Outreach and promotion support, including but not limited to, social media campaigns, press releases, press interview materials, event listings/calendars, and coordinating with graphic designers for the festival logo and merchandise
Coordination of promotional merchandise items
Lead participant in event and programming evaluation activities
Coordination of sponsor benefit fulfillment and sponsor reports

Other
Work with the Small Business Liaison to build and maintain relationships with local businesses with a focus on mitigating negative festival-related impacts and maximizing festival-related opportunities
Review, oversight, and enforcement of all festival policies, guidelines, rules, including ADA accessibility
Maintain and grow vendor and volunteer recruitment; management of related processes and tools
Oversee all festival-related administrative tasks, including maintaining all records, billing and payment processing, map layout, etc.

Position Requirements
Available to work some evenings and the day-of festival management for the entire Fluff Festival day, Saturday, September 23, 2023
Planning team meetings are once a month during the evenings until August when they become more frequent as needed
Please note this position includes physical labor
The position will be from March 2023 through the week after the Fluff Festival (in order to take care of post-festival action items)
The bulk of this position’s responsibilities can be carried out remotely, with some in-office hours required. Daytime office work may be needed from time to time for training and regular check-ins. Weekend and evening work may be needed on occasion.
Please note that USMS is unable to provide a computer or cell phone
The position requires 10-20 hours per week (flexible dependent upon weekly needs) at $26 per hour.
Strong desire to work in a small team with a big agenda with an understanding and degree of patience that USMS works on multiple competing priorities at all times
Passion for being responsible for details that keep systems and teams effective
A high degree of personal and professional integrity, this is essential
A minimum of 3-5 years of project management and/or event planning experience
Ability to work independently and part of a team, ability to take the lead when appropriate
Excellent organizational skills and aptitude for creative problem solving in an environment that must regularly respond to emerging priorities within the neighborhood served
Ability to multitask, prioritize, and complete projects on time and within budget
A keen interest in connecting with people on a human level across cultural backgrounds
Google Drive, Trello, and other web-based applications experience and/or appetite to quickly gain experience
Physical demands include: moving about the district frequently, lifting up to 50lbs occasionally, pushing, pulling, and carrying as needed
A love of Union Square, mission-driven work, and all things Fluff!

Compensation: The position is a temporary, non-exempt, part time employment position paid for all hours worked at a rate of $26/hr for approximately 10-20 hours from March through September 29, 2023. Additional hours may be required on occasion, and this position is eligible for overtime at a rate of time and a half for all hours worked in excess of 40 hrs in a work week, with prior approval required.
