Controller

We are hiring a full-time Controller who will be responsible for the day-to-day operations of the Accounting and Finance departments.  The position is usually Monday through Friday, 9:00 AM – 5:00 PM.

Responsibilities include:

  • Responsible for the hiring, training and performance management of Accounting and Finance staff.
  • Responsible for the development and implementation of standardized accounting and cash control processes in line with Generally Accepted Accounting Principles (GAAP).
  • Collaborates with the Chief Executive Officer to develop, implement and monitor effective internal processes related to cash and accounting systems.
  • Maintains effective staffing and cost control measures, particularly labor expenses based upon the requirements of the business.
  • Manages the payables and billing functions, and the management of all financial and accounting systems.
  • Ensures accurate and timely prepared financial statements, payroll processing as well as direct link to our annual audits/reviews performed and quarterly compliance with tax and other agencies.
  • Manages the payroll process for the company including oversight of the payroll function, as well as, approval and timely submission of timesheets.
  • With the Chief Executive Officer, develops and creates the annual budget through established processes and by working with Company Management.
  • Manages the invoicing and collections of all tenant accounts.
  • Introduces new procedures to ensure tight controls of the Accounting and Finance Departments, as needed.
  • Acts as the preliminary point of contact with the Company’s External Auditor
  • Manages and oversees staff accuracy in creating and maintaining accounts, including the Balance Sheet, Income Statement and Cash Flow
  • Provides feedback to Managers to ensure the timely and accurate posting and reporting of payments, credits and invoicing to customers ensuring compliance with regulations
  • Files tax returns (e.g., sales & use, payroll and support income tax returns).
  • Fosters and maintains professional and positive communications and working relationships with residents, vendors, contractors, lenders, City staff, and other partners.

Interested candidates must have:

  • Bachelor’s degree in accounting, finance, or related field
  • Proficiency with GAAP utilization, balancing budgets, income statements & accounting software, working knowledge of Sage Accounting, a plus
  • 5+ years of previous managing the accounting and finance-related function experience
  • 5+ years of payroll-related processing and overseeing the payroll function
  • 3+ years of developing proactive internal accounting & finance compliance SOPs.
  • Experience in working with multiple legal entities under different legal umbrellas
  • Proficiency with MS Office Suites with advanced knowledge of Excel

Prior experience with construction or property management or development, preferred.

Office Manager

We are hiring a full-time Office Manager with a focus on office management, accounting and bookkeeping skills to effectively manage our office and accounting functions to work Monday through Friday, 9:00 AM – 5:00 PM. Responsibilities include:

Office Management

  • Maintain office efficiency by maintaining appearance of common areas, organizing procedures, handling correspondence, managing filing systems, and overseeing supplies and equipment
  • Oversee the day-to-day activities of the office as the main point of contact in the reception area, keeping management informed of performance with routine and requested reporting
  • Provide direct administrative supports as needed, including scheduling appointments, meetings, and events, maintaining filing system, mail monitoring and distribution and updating contact database and employee list
  • Oversee and maintain office equipment for uninterrupted function, identify and fulfill office supply needs, maintain, and manage vendors, and coordinate food delivery as needed
  • Manage all aspects of the office’s space/infrastructure planning (moves, adds, and changes to workstations) and provide answers, resources, and solutions as requested

Accounting

  • Bank Deposits
  • Accounts Payable / data entry
  • Assist with annual Reports for SCC and Affiliates
  • Annual rotation of documents to storage
  • Quarterly Billing
  • Scanning and mailing
  • Filing for Controller (as time permits)
  • Managing the accounting /financial records including payroll, client billing, purchase orders, vendor records and payments and cash receipts and verifying, allocating, and posting transactions.
  • Maintaining subsidiary accounts by verifying, allocating, and posting transactions and balancing reconciling entries.
  • Maintaining general ledger by transferring subsidiary account summaries.
  • Balancing general ledger by preparing a trial balance; reconciling entries.
  • The accurate and timely reconciliation of accounts including bank accounts, account payables and receivables.
  • Managing subcontractor compliance by the terms and conditions of the contracts, including insurance and billing procedures.
  • Preparing of weekly cash flow reports and job costing reports, as requested by Management.
  • Maintaining records of financial transactions by establishing accounts; posting transactions; ensure legal requirements compliance.
  • Developing systems to account for financial transactions by establishing a chart of accounts; defining bookkeeping policies and procedures.
  • Preparing financial reports by collecting, analyzing, and summarizing account information and trends.
  • Overseeing all payroll functions, including reports and payments required by federal and state agencies, and analysis and reconciliation of costs.
  • Maintains up-to date filing system for accounting records, including paid bills, payroll records, deposits, invoicing and personnel records.
  • Preparing of invoices to send to customers and maintain required documentation.
  • Maintaining of required records for insurance and benefit providers for use as needed and for annual audits.
  • Enrolling of employees in benefit programs and maintaining of documentation required by benefit programs.
  • Developing and administering processes and procedures, and forms to streamline the accounting operation.
  • Maintaining personnel records and establishing human resources-related processes and procedures according to prevailing regulations.
  • Develop and maintain procedures for effective employee practices including compliance with employee handbook and other company policies.
  • Responsible for the general office including purchasing, maintenance and inventory of office products.
  • Complying with federal, state, and local legal requirements by studying requirements; enforcing adherence to requirements; filing reports; advising management on needed actions.

  • Bachelor’s degree in accounting, finance, or related field
  • Proficiency with accounting software, Sage Accounting a plus
  • 5+ years of previous bookkeeping experience
  • 3+ years of accounting-related experience
